Google Voice alternative

The Google Voice alternative built for outbound calling

Google Voice is a business phone number that lives inside Google Workspace: calls and voicemail in Gmail, working hours from Calendar, a call that turns into a Meet. For a team that answers the phone, that fits the way it already works. For a team that works a list it is the wrong tool on purpose, and the reason is written into the Voice acceptable use policy rather than missing from a feature table. "Do not automate our system to place phone calls or send messages automatically," it says, and it lists bulk messaging, automated messages and mass solicitation among the things not to do. There is no dialer on any plan, and no CRM on the integration list.

No card required. No seat minimum.

The short version

  • The Google Voice acceptable use policy states: "Do not automate our system to place phone calls or send messages automatically."
  • The same policy lists sending messages in bulk, sending messages via an automated process such as a script, and sending unwanted or mass solicitation as spam and commercial use not to engage in.
  • It also names placing concurrent calls for improper purposes, such as multiple simultaneous calls through multiple devices or automated processes, and says violations can mean limiting or terminating access to Google Voice.
  • No plan describes a dialer of any kind. The Voice pricing page lists calling, texting, voicemail transcription, auto attendants, ring groups and call recording.
  • The integrations named on the Voice page are Gmail, Google Calendar, Google Meet, SIP Link and HP Poly desk phones. No CRM appears at all.

The other side

When Google Voice is the better choice

Google Voice has things smrtPhone does not. It sits inside Google Workspace, so calls and voicemail arrive in Gmail, working hours come from Calendar, a call becomes a Meet in a click, and Vault retains call and text records for eDiscovery. Unlimited domestic calling and US texting come on every plan, where a smrtPhone seat includes 500 minutes and 1,000 segments. SIP Link connects numbers from other carriers, and HP Poly desk phones provision themselves. Its Capterra profile is 4.5 from 726 reviews. If your team answers the phone rather than working a list, none of the policy limits on this page will ever reach you.

  • Your company already runs on Google Workspace and wants its phones there too.
  • Calls and voicemail should land in Gmail rather than in a CRM.
  • Vault retention and eDiscovery for call and text records are requirements.
  • You want HP Poly desk phones provisioned from the admin console.
  • Your calling is inbound and conversational rather than list work.

If your whole company runs on Google Workspace

Then Google Voice is the phone that belongs to the stack you already pay for: numbers managed in the Workspace admin console, calls and voicemail in Gmail, working hours read from Calendar, Vault and eDiscovery for call and text records, and Meet one click away. smrtPhone runs a phone system too - call flows, inbound teams and departments, voicemail, business hours, warm transfer, conference calling and call monitoring - but it lives in your CRM rather than in Gmail. If what you need is a line for every employee inside Workspace, Google Voice is the natural choice and this page is not the one to read.

This page is for the other case: a team whose day is outbound calls and follow-up texts to a list, with the record in an investor CRM, needing a dialer and a provider whose rules permit working a list at all.

Why teams that work a list outgrow it

  1. The policy ruled out the work

The Voice acceptable use policy says not to automate the system to place phone calls or send messages automatically, and lists sending messages in bulk, sending messages through a script and mass solicitation as prohibited commercial use. It adds that violations can mean limiting or terminating access to Google Voice. A desk working a list is doing exactly what that policy describes. smrtPhone is built for that work, with DNC and DNT lists, a DNC applet, DNC API, A2P 10DLC and automatic opt-out in the base seat.

    Outbound is the product
  2. There was no dialer at any tier

Starter, Standard and Premier add users, auto attendants, ring groups, call queuing, recording and BigQuery reporting - call handling, all of it, and nothing for placing calls. Working a list means dialing one number at a time from the app. smrtDialer is an add-on to the same $29 seat at $50 for a single line or $90 for up to four, with AI voice detection, voicemail drops logged to the CRM and unlimited campaigns.

    smrtDialer, up to 4 lines
  3. The record lived in Gmail, not the CRM

Voice integrates with the Google stack - Gmail, Calendar, Meet, Vault - and the Voice page names no CRM at all. For a team whose system of record is Podio, GoHighLevel, Left Main REI, InvestorFuse, DataSift, Realeflow, Invelo, Carrot, Tape or Salesforce, every call and text has to be copied across by hand. smrtPhone writes them to the record natively.

What switching actually involves

Numbers port, including numbers already on Google Voice. Nothing about moving the calling here means leaving Workspace: keep Gmail, Calendar and Meet exactly where they are, and let the calls and texts that belong to a lead land in the CRM instead of the inbox.

  1. Port your numbers. They move with you. Nobody has to learn a new number.
  2. Connect the CRM. Calls, texts, recordings and dispositions start writing to the record.
  3. Rebuild your call flows. Routing, ring groups, business hours and the DNC applet.
  4. Run both for a few days. Then move the dialing over once the logging looks right.

How long the port really takes

  • Porting takes one to three weeks once the paperwork is in and confirmed. It is faster when your current provider sits on the same underlying carrier we do, and slower if the paperwork comes back rejected over a detail that does not match your carrier record.
  • Support does the work. You start it from live chat and the team handles the submission.
  • Do not cancel your old provider until the port completes. Your number keeps working throughout.
  • Occasionally voice ports a few hours before texting does. It settles by itself.

Questions people ask before switching

Can you use Google Voice as a dialer?

Not within its own rules. The Voice acceptable use policy states "Do not automate our system to place phone calls or send messages automatically," and lists placing concurrent calls for improper purposes - multiple simultaneous calls through multiple devices or automated processes - among the things not to do. No plan offers a dialer in any case. smrtDialer runs one to four lines with AI voice detection at $50 or $90 on top of a $29 seat.

Can I send bulk texts with Google Voice?

No. The same policy lists sending commercial or promotional messages to a large number of users, sending messages in bulk, sending messages via an automated process such as a script, and sending unwanted or mass solicitation as prohibited, and says violations can mean limited or terminated access. A smrtPhone seat includes 1,000 SMS and MMS segments with templates, A2P 10DLC registration and automatic opt-out handling.

How much does Google Voice cost?

In the US, Starter is $10 a user a month for up to ten users, Standard $20 and Premier $30, and all three are added to a Google Workspace plan; a single-user Voice-only line is also $10. Unlimited domestic calling and US texting are subject to the Voice terms. Pricing shown outside the US differs - the UK page shows a promotion at $16 and $24. smrtPhone is $24 a seat a month billed yearly, or $29 month to month, with smrtDialer at $50 or $90 for the people who dial.

Does Google Voice integrate with a CRM?

The Voice page names Gmail, Google Calendar, Google Meet, SIP Link and HP Poly desk phones, and no CRM. Calls and voicemail land in Gmail and the Voice app, with Vault retaining the records. smrtPhone is native to Podio, GoHighLevel, Left Main REI, InvestorFuse, DataSift, Realeflow, Invelo, Carrot, Tape and Salesforce, with every call and text written to the record.

Do I have to leave Google Workspace to switch?

No. smrtPhone replaces the calling and texting for the people who work a list, and nothing else - Gmail, Calendar, Drive and Meet stay exactly as they are. Numbers already on Google Voice can be ported, and the calls and texts that belong to a lead land on its CRM record instead of in an inbox.
